Agent payments

Let the agent make approved purchases with a secure virtual card and spending limits.

Updated 11 October 2026

Agent payments let your agent buy or book things for you, with strict controls. Open Payments from the menu to see everything it has asked to pay for.

Who can use it

  • Admins switch it on per person, for example managers only.
  • Set it in Settings › Team, open a person, then Colleagues Payment Spending and Limits: switch agent payments on, allow or block the company card, and set a maximum per purchase and a monthly limit.

How a payment works

  1. Ask the agent to buy or book something.
  2. The agent shows an approval card with the exact amount, the merchant and what it's for.
  3. You press Approve or Decline. Nothing is paid until you approve.
  4. A fresh single-use virtual card is created for that payment only, locked to the approved amount, and closed straight afterwards.

Card details are never typed in chat. Cards are held by our payments provider.

Ways it can pay

  • One-off purchases: the card is limited to the exact approved amount.
  • Bookings and deposits: restaurants, hotels or venues that need a card to hold a booking. When the final bill may differ (for example a deposit or a no-show hold), the card allows up to 15% over the approved amount.

Which card pays

On every approval card you choose Pay with and This is:

  • Business: the company card, or a business card you've added.
  • Personal: your own card, for things you're paying for yourself.
  • Expense: you pay with your own card and claim it back from the company.

Add cards in Payments or Settings › Agent payments. Admins add company cards the same way, and anyone can add a personal card too. If a card is declined, your backup card of the same type is tried automatically. Personal payments are only visible to you.

Expense claims

  • Expense payments appear under the Expenses tab. Press Submit claim to send it for approval.
  • Admins can approve, query, reject or mark a claim paid.
  • Download claims as a PDF or CSV.
  • If a claim hasn't been submitted, we send a reminder after 7, 14 and 21 days, then weekly.

Finance contact

Admins can choose who gets finance copies in Payments › Finance contact: the owner, an accountant, or both. They get a copy of each receipt and a monthly report on the 1st.

Receipts and invoices

  • The agent finds the receipt on the checkout page or in your inbox and attaches it to the payment.
  • For bookings, if no invoice has arrived after the booking ends, it chases the venue for one (after 3, 7, 14, 21 and 30 days).
  • Download every receipt in one go with Download receipts (ZIP) on the Payments page.

AI agents and the API

Connected AI agents and the API can list your payments and their status. Approving a payment always happens in Epicurus Pro, never through the API.

Ask your admin if you don't see Agent payments in your profile.

Reports

Open the Reports tab in Agent payments for any date range. Admins can see the whole team or one person. Export it as CSV or PDF. See Expense reports.

Spending policy

Some categories, such as gambling, are always refused, whatever someone's limit is. See Spending policy.
