Travel & accommodation

Keep hotels, trains, flights, taxis and chauffeurs separate, and claim back what you paid yourself.

Updated 11 October 2026

Expenses › Travel & accommodation is for travel costs only: hotels, trains, flights, taxis and Uber, chauffeur rides (for example Blacklane), car hire, parking and tolls, buses and the Tube, and meals while travelling.

Add an item

  1. Open Expenses › Travel & accommodation.
  2. Under Add travel or a hotel, choose the type, then add the supplier, where from and to, the date (and the check-out or return date for hotels) and the amount.
  3. Choose Paid with:
    • My card, claim it back: you paid yourself and want the money back.
    • Company card: paid with the company card. It is recorded for the accounts but not claimed. You only see this option if your admin allows you to use the company card.
    • Personal, not claimed: a personal trip. Only you can see it, and it is never claimed.
  4. Attach the receipt as a PDF or photo if you have it, then press Add.

You can change how an item was paid, or delete it, until it is in a claim.

Claim it back

  • Ready to claim shows the total of items you paid on your own card.
  • Press Submit claim to send them to your admins for approval. They get a notification.
  • Admins open Team claims, see a table of every team member, and can approve, query, reject or mark each item paid back. You are told each time.

Reports

The Reports tab works like the other expense reports: any date range, a breakdown by type, Export CSV and Print / PDF. See Expense reports.
